User Acceptance Testing Guide
A preview build for your review

A first look at your new CRM.

Thank you for helping us test the new HMR Designs CRM. This is a working preview of the pipeline, contacts, and venues — built to replace the manual side of HMR Direct with a faster, clearer day-to-day workflow. Spend time in it as you naturally would, and tell us what feels right, what feels off, and what’s missing. Your feedback directly shapes what ships next.

How to share feedback

Email your notes to support@datastudios.ai — every email automatically opens a tracked ticket, so nothing slips. Screenshots are gold. For each item, a quick line on what you did, what you expected, and what happened is perfect.

When you create test records, please prefix the name with ZZ TEST — so they’re easy to spot, and avoid editing real existing events.

Good to know. This is an early preview, so it’s deliberately focused: the pages below are what’s ready to test today. Email, commission reports, dashboards and more are on the way — see the roadmap on the last page so nothing reads as “missing.” You’re testing against a safe practice copy of HMR Direct, so feel free to click around.

What to test
Phase 1 & 2 — available now · Live
1Sales Pipeline

Your events as a board, grouped by stage from Inquiry through Dead.

  • Open CRM → Sales Pipeline. Do the stage columns and counts look right?
  • Drag an event from one stage to the next — confirm it moves and sticks.
  • Click any event card to open its detail view.
  • Scan a few cards — is the right info on the card front?
2Event Detail

The full picture of one event — schedule, money, and the people involved.

  • Open an event and review the schedule and budget.
  • Check the commission rules — do they match how HMR works?
  • Review the team, contact, and venue panels for accuracy.
  • Note anything mislabeled, missing, or out of order.
3New Event & Sync

Create an event here and watch it flow through to HMR Direct.

  • Create a new event named ZZ TEST — …
  • Fill the required fields and save — confirm it appears on the pipeline.
  • Click Sync with Direct (top banner), then check it landed in HMR Direct.
About “Sync with Direct”

The CRM stays in step with HMR Direct. In the finished product this happens automatically every 15 minutes; during testing there’s a Sync with Direct button in the top banner so you can trigger it on demand and confirm changes flow both ways. To verify the Direct side, sign in to the practice site: hmrdirect-dev.staging.v2.iverticle.net.

What to test — people & places
Phase 1 & 2 — available now · Live
4Contacts

Everyone behind an event — clients, planners, and vendors in one place.

  • Open CRM → Contacts and switch between Clients, Planners, and Vendors.
  • On a planner, confirm the commission rate shows and looks correct.
  • Search for a known client — are the details accurate?
  • Add a new contact named ZZ TEST — … and confirm it saves.
5Venues

Your partner venues, with the numbers that matter attached.

  • Open CRM → Venues and search or filter by city.
  • Open a venue — review its commission rate, event history, and revenue totals.
  • Do the totals look right against what you know?
  • Add a new venue named ZZ TEST — … and confirm it saves.
As you go, a few things to keep an eye on

Does the wording match how HMR actually talks about events, stages, and roles?

Is anything in the wrong place, or a step harder than it should be?

Do the numbers — budgets, commissions, revenue — line up with what you expect?

02
What’s coming next
So nothing below reads as “missing”
Phase 1 & 2 — MVP · June
In testing
  • Pipeline kanban (Inquiry › Qualified › Confirmed › Finalized › Closed › Dead)
  • Event detail — schedule, budget, commission rules, and team / contact / venue panels
  • New event creation with automatic sync to HMR Direct
  • Contacts — clients, planners (with commission rates), and vendors
  • Venues — commission rates, event history, and revenue totals
Phase 3 — June / July
Next
  • Activity log — notes, tasks, calls, meetings, and deadlines per event
  • Gmail integration — each designer connects Gmail; correspondence tied to events
  • Compose and send email directly from an event in the CRM
  • AI email summarization — automatic summary of the full client thread per event
  • DataChat — ask about your pipeline and commissions in plain English
Phase 4 — July / August
Planned
  • Commission Reports — per-designer breakdown of margin, commission %, and commission $
  • Commission Summary — firm-wide manager view across all designers and planners
  • Designer Performance dashboard — YTD, contracted, projected, monthly chart vs. prior year
  • Home Dashboard — personal landing page with pipeline summary and upcoming events
Phase 5 — TBD
Later
  • Designer sales goals and quotas imported from Tableau
  • % of Quota, Go-Get, and Sales Goal KPIs activated on all dashboards
Known rough edges (not bugs). A couple of the larger lists (Contacts, Venues) can take a few seconds to load the first time. An event date may occasionally display one day off — the stored value is correct. No need to report these; we’re already on them.
